Bringing Projects to a Close: Best Practices for Project Closure

project closure

The project closure phase marks the EOP or End of the project lifecycle and involves several critical activities to wrap up the project efficiently.

Completion Activities and Documentation:

  1. Outline the critical activities in project closure, including submitting final deliverables and fulfilling contractual obligations.
  1. Discuss the types of documentation required and the importance of thorough documentation to capture lessons learned.

Project Retrospective and Lessons Learned:

  1. Explain the purpose and process of conducting a project retrospective to identify what worked well and what didn’t.
  1. Highlight how lessons learned can influence future project management processes and organizational growth.

Storing Project Materials and Continuous Improvement:

  1. Provide advice on organizing and storing project materials for future reference and evaluation.
  1. Discuss how continuous learning and improvement are essential for organizational success and adaptation.

Regardless of the project life cycle outcome, the team should conduct a project retrospective. During this post-mortem activity, the team can process and learn new lessons and ensure the continuation and improvement of current PM processes for the next project.

During the project closeout, submitted documents include various project documentation, final MOM or meeting minutes, and other Agenda closure reports. These identify and capture lessons learned and best practices for future reference and reuse.

Organizing and storing project materials in a shared team folder is a good idea. It can serve as a reference during performance reviews and evaluations, helping the organization and its business grow.
